AI Intake & Site-Visit Booking

Phone and web intake that turns qualified engineering enquiries into proposals and travel-aware site visits.

My role

Designed and implemented intake, scheduling, proposal-to-booking integration and reviewed email-draft workflows.

The problem

An engineering practice needs to understand a property enquiry, propose the right service and offer practical visit times without overlooking travel or existing appointments.

The approach

Connected a shared phone/chat intake service to property qualification, scope-based proposals, route-aware availability and calendar booking after proposal signature. Email replies remain drafts for staff review.

What it enables

Provides a connected enquiry-to-booking workflow, with visit options that account for travel and a human handoff for unusual requests.

The work,
and its boundaries.

Useful qualification

Collects property and service details, applies configured scope/pricing rules and escalates requests outside the normal offering.

Practical visit options

Availability considers appointment duration, working hours, travel and existing visits rather than only empty calendar blocks.

Proposal-to-booking handoff

Rechecks the agreed time after signature, confirms it when available or supplies a new booking-selection link.

Human-controlled correspondence

Structured lead context supports threaded reply drafts without automatically sending the proposed response.

Scope

Administrative intake and configured service rules, not engineering assessment. A suggested visit is not reserved until the booking checks complete.
